We use Whisper or Notion to produce accurate transcripts of meetings with Subject Matter Experts – far better than Teams or Zoom. Clean transcripts give us richer insights and make process discovery easier.
2. Extracting steps, roles and variations
AI tool: ChatGPT (structured analysis prompts)
We use ChatGPT to pull out:

- decisions and handovers
- variations and exceptions
- who does what
- pain points and friction
This creates a clear, structured dataset for us to review and from which we can build process maps.
3. Auto-building the first draft process map
AI tool: Lucidchart AI — Auto-diagram
We paste the structured steps into Lucidchart’s AI Auto-diagram tool, which:
- generates the full process map
- applies BPMN-style shapes
- lays out swim lanes
- gives us a visual starting point in seconds
We then refine, correct and validate it with your team.
4. Turning process flows into SOPs
Scribe · Process Street
For procedural tasks, we use Scribe or Process Street to:
- capture on-screen steps
